Event seating capacity calculator

The size of the room and the layout you have in mind. A planning estimate of how many guests fit, before anyone draws a floor plan.

How it is calculated

Usable area = length × width − the share taken by stage, bar, buffet or dance floor.

Capacity = usable area ÷ space per person for the layout, rounded down.

The space-per-person figures are common planning rules of thumb, not regulations. Your venue’s licensed occupancy and local fire rules always override them.

Questions

How many people fit at a round table?

A 1.5 m (5 ft) round seats 8 comfortably and 10 tightly; a 1.8 m (6 ft) round seats 10–12. Allow about 1.5 m between table edges for chairs and service.

Is this the legal capacity?

No. The legal maximum is set by the venue’s licence and fire regulations, which account for exits and corridors. Use this to plan, then confirm with the venue.

Why do layouts differ so much?

Because tables take space. Theatre rows put people shoulder to shoulder; classroom seating needs a desk for each; a boardroom needs a table and room to move around it.

If you run WooCommerce

SeatCraft draws the actual tables on your floor plan and seats named guests at them, so the estimate becomes a seating chart. SeatCraft is our plugin; the calculator above works the same whether you use it or not.
